The Cod Vista's development team analyzed the school's Excel workbook and identified opportunities to enhance efficiency without the need for expensive software or database systems. The following steps were taken to address the school's requirements:

  1. Workbook Optimization: The existing workbook was optimized by fixing calculation formulas and converting manual processes into automated tasks using Visual Basic for Applications (VBA). This ensured accurate fee calculations and streamlined data entry.
  2. Receipt and Database Integration: A receipt template was designed within the Excel workbook, tailored to fit the dimensions of the school's thermal printer. Advanced formulas and data validation techniques were utilized to automate data entry for generating receipts. Additionally, a separate worksheet was created to serve as a database for storing receipt details.
  3. VBA Integration: Three VBA buttons were added to the workbook interface for easy access to key functions: printing receipts, saving receipts as PDF files, and saving receipt details to the database worksheet. This allowed the school staff to perform these tasks with a single click, improving workflow efficiency.
  4. Customization and Flexibility: The solution was designed to provide flexibility to the school staff. They could choose whether to save receipt details to the database or print receipts individually based on their requirements, providing a tailored user experience.

By implementing the Excel-based solution, Modern Nursery School achieved the following outcomes:
